M-M Properties, Inc., a privately owned real estate investor and developer, based in Houston, Texas, with assets in excess of $1.2 billion, with 5.7 MM SF of self-managed office and 1,300 apartment units in our portfolio, is recruiting an Administrative Assistant to be based in Bellevue, Washington. The candidate must be a motivated, self-starter who is detail oriented, with an understanding of time management for an administrative position within the office property management sector of the real estate industry. The administrative assistant candidate will office at the property and have a major role in providing administrative and operational support for the efficient running of the management office and commercial property.

Responsibilities:

  • Receive and respond to incoming phone calls, greet tenants and third parties who visit
  • Assist other members of the management, engineering and property team
  • Receive and distribute incoming mail, respond to incoming email requests
  • Schedule and assist in coordinating team meetings and / or tenant meetings as requested
  • Monitor incoming work orders to assure proper and timely handling
  • Receive and code incoming invoices, and submit to accounting in a timely manner
  • Manage and maintain on site tenant and vendor files, certificates of insurance, and other on-site records in compliance with company policies and procedures
  • Act as a day-to-day liaison with third parties, including tenants, construction contractors, security, housekeeping and other vendors
  • Assist with tenant move ins and move outs, lease executions, tenant signage
  • Assist members of management with preparation of the annual budget and provide on-going support with variance analysis and reporting
  • Monitor office and postage supplies, stationary, and order an needed while remaining within budget guidelines
  • Assist with planning annual tenant appreciation events

Preferred Characteristics & Skills:

  • Excellent organizational skills, verbal and written communication skills
  • Ability to multi-task and work well in a fast paced environment
  • Strong proficiency computer skills in Microsoft Office, including Word, Excel and Outlook
  • Familiar with MRI or similar accounting software application
  • Familiar with Building Engines, Angus Anywhere or similar work order package

Education and Experience:

  • High school diploma or equivalent combination of education and experience
  • 2 years commercial real estate is preferred, but not required
