United Properties Inc. is seeking a dynamic and experienced commercial real estate executive to lead the company as it maintains its position as the premium provider of office space in the largest city in Montana. The Chief Operating Officer will oversee a staff of 10 and will represent UPI in local, state and national markets. UPI’s mission is to “be the leading provider of commercial office space in Billings, Montana, through continued commitment to high quality buildings and tenant services, while maximizing shareholder value.” UPI prides itself in offering Class A commercial real estate in the downtown of Montana’s business center and providing superior tenant services.

The COO will supervise operational activities of the organization. The COO will develop, establish, and implement organizational policies, operational functions, and company resources to attain business objectives. The COO will lead the company in 5 key areas:

  1. Strategic Planning and Business Development: The COO will work with the company ownership (Executive Committee, Board of Directors) to determine objectives of the organization and formulate plans, policies, and resource allocations for achieving these objectives. The COO will provide overall organizational coordination to meet these objectives and evaluate/adjust effectiveness of all operational processes. The COO will identify business opportunities for growth, such as attracting tenants from outside Montana and increasing market share.
  2. Leasing and Tenant Relations: The COO will market the office spaces through all available media and conduct showings of available office units to prospective tenants. The COO will initiate proposals and negotiate terms and conditions of leases with prospective tenants and prepare and execute leases and related documents. The COO will know all tenants, in order to stay abreast of tenant concerns and fulfill the UPI mission of outstanding tenant service. The COO will address tenant concerns including, but not limited to, unfinished work, spatial changes, and redecorating. The COO will supervise professional staff concerning spatial and design modifications.
  3. Asset Management: The COO will manage all aspects of the five main buildings in the Transwestern Complex including parking areas, green areas and one off-site location. The COO will oversee the Facilities, Construction and Design Engineer and the Maintenance Supervisor who supervises a staff of 4 to maintain the buildings and grounds. The COO will oversee capital expenditures and project management of buildings grounds and tenant space renovations.
  4. Human Resources: The COO will manage all staff, including hiring, promotion, and professional development. The COO will conduct performance appraisals for staff, conduct disciplinary actions when necessary, and recruit and select personnel as positions open. The COO will establish organizational hierarchy, participate in creation of job descriptions, and set standards for competitive compensation packages. The COO will recognize staffing and/or outsourcing needs as they arise and address these needs accordingly.
  5. Communication with Stakeholders: The COO is the public face of UPI in the local, state, and national markets. The COO will work closely with the Executive Committee of the Board of Directors, interface with owners when necessary, and participate fully in all UPI Board of Directors, Executive Committee, and other Board Committee meetings. The COO will report regularly to the Board of Directors and Committees. The COO will be the primary point of contact for public and community relations and must maintain a favorable and profession public image for the company.

You’re a good fit for this job if you have:

  • Bachelor’s Degree from an accredited institution in Business Administration, Finance, Marketing or related field.
  • At least five years’ experience in marketing, leasing and management of commercial real estate.
  • Strong working knowledge of Online Marketing.
  • Proven public relations especially working with tenants.
  • Proven public relations and negotiation skills.
  • Experience in successfully reading and analyzing business spreadsheets.
  • Proven oral and written communications skills.
  • Proven ability to draft and understand contracts.
  • BOMA credentials or commitment to achieve these.
  • Sufficient financial expertise to supervise company accountant and/or bookkeepers.
  • Proficiency with computers and software.

Preferred Qualifications:

  • Familiarity with the commercial real estate market in the Mountain West, Montana, and Billings.
  • Ability to attract and retain new tenants from outside the local market.
  • Sufficient understanding of building systems, including HVAC, elevators, to supervise staff responsible for those systems.

Other info you should know:

  • Reports to Executive Committee of the Board of Directors but will be expected to manage all aspects of the business with minimal oversight.
  • This is a full-time, exempt (salary) position eligible for our full suite of benefits including employer-paid Medical, Dental, and Vision insurance 401(K) plan, Pension plan, Paid Sick Leave and Vacation.
  • The pay range for this position is $90,000-$120,000 commensurate with experience.
  • The position is located in Billings, Montana.
