JOB LEVEL: II

FLSA STATUS: Full-time, Exempt

DEPARTMENT: Residential Properties Management Department

SUPERVISOR: Community Manager

This job description aims to communicate the responsibilities and duties associated with the position of Assistant Community Manager. While the following information should be considered a comprehensive description of this position, additional responsibilities and duties may need to be addressed and included based on the community's needs. Each team member must perform any reasonable task or request that consistently fulfills company objectives.

ROLE

The Assistant Community Manager will be responsible for managing operations, leasing activity, renewals, rent collections, financial reporting, risk management, and communications. The Assistant Manager shall report to the Community Manager.

MEASURES OF SUCCESS

This position is measured through resident feedback on services provided, resident turnover, rent collection, physical appearance, and community cleanliness.

PRIMARY DUTIES AND RESPONSIBILITIES

Leasing and Customer Service

  • Build positive relationships with prospective and current residents to secure new rentals and lease renewals to maintain 95% occupancy.
  • Market available units or a waitlist through CRM updates and daily postings to sites such as Craigslist and Zillow.
  • Ensure documentation of all prospective renter traffic is entered into Yardi, including phone calls, emails, and community tours.
  • Create and distribute weekly leasing summary reports.
  • Document all prospective renter follow-up, including emails, phone calls, and/or mailed thank-you notes.
  • Process rental applications and communicate results to the prospective renter in a timely manner.
  • Ensure that the proper move-in paperwork, electronic access, and key fobs are prepared before the resident move-in.
  • Inspect make-ready apartments before move-in and conduct new resident move-in meetings.
  • Promptly respond to resident concerns, comments, and/or complaints and ensure timely follow-up and documentation.
  • Maintain and/or create a resident renewal program to encourage resident retention.
  • Actively participate in the planning and hosting of resident events.
  • Understand the market and any other aspects of the sub-market that could impact the property's occupancy and/or income.
  • Assist with creating market surveys by reviewing competitor rental rates, promotions, amenities, and marketing strategies to secure prospective residents.
  • Maintains the hospitality standard by ensuring the curb appeal, office refreshments, tour path, amenities, and model or vacant units are always ready.
  • Create a sense of community at the property while maintaining the non-fraternization policy.

Operations

  • Inspect the property regularly and verify the condition of vacant units, common areas, and the leasing office to maintain high curb appeal standards.
  • Ensure all monies received are deposited and recorded daily and confirm proper bookkeeping procedures are followed.
  • Post charges for pets, damages, parking, lost fobs, or more to resident ledgers promptly.
  • Conducts daily Yardi audit to ensure lease charges, concessions, and all fees are posted correctly.
  • Assists in generating monthly rent posting reports and makes corrections to households as necessary if the information needs to be corrected or added.
  • Compile or generate weekly/monthly property status reports as required by owners.
  • Supports the renewal process through notice follow-up, renewal lease creation, renewal tracker and Yardi updates, and more.
  • Assess apartments' pre-move-out and final move-out conditions and have a final account statement sent with the final disposition.
  • Assist with resident parcel management through daily parcel room review, resident package notification, and delivery as needed.
  • Process invoices by submitting them to the corporate office promptly.
  • Orders office and amenity supplies as needed.
  • Operate the office professionally and confidentially at all times.

Risk Management

  • Ensure the proper legal notices are given and deadlines met concerning filing an eviction and attending court hearings as required.
  • Ensure compliance with community policies and lease agreements. Respond to violations and communicate with the residents promptly.
  • Immediately inform and refer any liability claims, legal complaints, or other violations to the Community Manager and/or corporate office.
  • Document, draft, and share with the community manager incident reports for any building, grounds, or personal damage that may occur on the property.
  • Maintain secure resident documents and files electronically and in the office.

POSITION QUALIFICATIONS

  • Highly developed written and oral communication skills, including communicating across digital platforms and in person.
  • Conscientiously organized with attention to detail.
  • Effective time management, including prioritization of time-sensitive items and the ability to meet deadlines.
  • Strong interpersonal skills to support relationships with a broad range of stakeholders.
  • Knowledge of regional, state, and national laws and guidelines for multifamily property management.
  • Ability to calculate figures and amounts such as prorates, percentages, and more.
  • Proficiency with word processing software and other related tools.
  • Applying critical thinking and understanding to carry out detailed written or oral instructions.
  • Must have a valid California Driver’s license and clean driving record.

EDUCATION AND/OR EXPERIENCE

  • High school diploma or GED. Associate's degree or higher preferred.
  • Minimum two years of property management industry experience.
  • Yardi or other property management software.

Perform other duties as assigned or requested to support property operations.
