We are looking to grow our team in Tampa, Florida. We have an immediate opening for an Administrative Assistant/Development Coordinator.   Our Company has been in business for over 70 years and we are a leader in our field retaining the feel of family owned and managed business.   

The ideal candidate will  need to have a good understanding of the real estate development business with prior work as a paralegal and / or a commercial or residential loan closer or processor. 


  • We need someone that's familiar with the terminology and documentation process of new development and acquisition commercial real estate projects.
  • They will need to be capable of organizing the respective projects at the deal level, take ownership of the internal pipeline  report, and act as a communication liaison between the Company and it's partners, lenders, equity providers and Corporate office to facilitate the flow of information during the project lifecycle.  
  • We need someone that can jump in and assist with LOI's, maintain the master lease files and filing on the internal drive.
  • They will pull Co-star Reports and crime statistics
  • Notary would be a plus
  • They will be assisting the development team as required including research, report compilation and distribution, managing schedules as well as typical administrative assistance, filing, booking travel, scheduling appointments, etc.
SKILLS / ABILITIES
  • A minimum of 5 years of office experience is required, preferably within a professional office facility and setting.
  • Experience in a real estate development business is a requirement
  • Must be a self-starter
  • Must be able to work independently, multi-task and prioritize requests.
  • Must have a professional, pleasant, and positive demeanor and the ability to work well under pressure and given competing demands and priorities.
  • Must be able to navigate their responsibilities during a workday without out needing direction 
  • The candidate must possess strong skills and literacy in most office computer products and software, including word processing (Word), scheduling/email (Outlook), spreadsheets (Excel), presentations (Power Point), and other data base applications.
  • Must be proficient in communicating at all levels both in oral and written form and competent at reviewing, editing, and preparing comprehensive letters, etc.
  • This would be a great entry position if interested in a career in development.

 

PRINCIPAL RESPONSIBILITIES

  • Ensures the efficient and effective organization of the office and operations
  • Facilitates and tracks routing and signature of documents, forms, and lease agreements
  • Controls documentation and maintenance of master lease files on company shared drive
  • Assists in Closing activities
  • Organizes and transmits documentation and other information to appropriate parties
  • Will assist with special projects as necessary
  • Manages the file system both paper and digital for the office
  • Prepare and manage the consulting contract process: write contracts, change orders, keep tracking logs, stamp and code invoicing, keep notice to owner logs, review and file insurance documents.

  • In order to be successful you must be a team player

  • Prepare correspondences, agreements, proposals, and other project documents. Maintain marketing materials for use at client presentations.

  • May be requested to stock office / break room supplies as needed
