About the Role

In early 2021 DivcoWest purchased two office campuses on Sand Hill Road in Menlo Park, Ca combining those assets with a legacy asset, The Quad (formerly known as Quadrus), created the Sand Hill Collection, a new kind of workplace with health, wellness and community at its core. The collection is comprised of 21 buildings, 551,000 square feet, and spread across nearly 29 acres in total. 

The Senior Property Manager will be responsible for day to day management and oversight of a property located in Menlo Park, CA.  This position requires someone who is motivated, interested in learning and very attentive to detail. The individual for this position should be comfortable working and contributing to a team environment, enjoy being in a busy environment where new and complex transactions occur and interact with people at various levels within and outside the organization.  

Primary Duties and Responsibilities

  • Manage and lead a team which may include Tenant Services Coordinator, Assistant Property Manager and/or Property Manager including recruitment, onboarding, supervision, training and development of employees.
  • Responsible for day-to-day operations of the building including security, engineering, janitorial and all aspects of maintenance and repairs.
  • Conduct property inspections and solicit bids for work via Procore platform.
  • Negotiate and prepare all vendor services contracts and competitively bid vendor services annually via Procore platform.
  • Oversee lease administration to ensure accurate records. Audit tenant and vendor certificates of insurance.
  • Establish and maintain a tenant relations program that is innovative and fosters tenant retention.
  • Respond to inquiries regarding lease terms, billings, repairs, and escalations. 
  • Respond to owner and tenant requests and/or concerns; create and maintain favorable landlord/tenant relations.
  • Review and approve all invoices via Nexus Payable to ensure proper control of expenditures and implementation of annual business plan.
  • Train, supervise and manage building staff.
  • Prepare lease abstracts for new tenant files, review monthly rent roll for accuracy.
  • Maintain accurate financial records using MRI accounting software. 
  • Review monthly financial statements to ensure accurate reporting. Write and distribute monthly operating reports. Review and explain budget variances in revenue, expenses and other financial issues associated with property via MRI and Waypoint.
  • Create annual operating budgets via Argus Enterprise and reconcile operating expenses. Work with engineering to identify capital projects.
  • Complete quarterly CAPEX reforecasts.
  • Manage construction of capital projects, tenant improvements and any other work required in the building.
  • Implement and oversee sustainability initiatives at the property. Track initiatives via Measurabl, sustainability management platform.
  • Monitor rent collection and pursue delinquencies, including serving legal notices as necessary.
  • Support leasing program by facilitating tours and fostering positive relations with brokers.
  • Administer Property Management Agreement and ensure contract requirements are met. 

Skills & Competencies

  • 4 year degree preferred. 
  • 10+ years of experience in Commercial Real Estate Property Management preferred.
  • Excellent leadership and customer service skills with the ability to maintain a positive attitude and work both independently and as part of a team are a must.
  • Dedication, multi-tasked and attention to detail is required.
  • MRI, Building Engines and Nexus or similar systems experience preferred.
  • Knowledge of general accounting and financing.
  • Ability to multi-task, work successfully under pressure, and effectively prioritize and manage time and workload to meet property and client needs.
  • A desire to work within a diverse, collaborative, and professional environment.
