JOB SUMMARY

Assists in the co-ordination and development of internal and/or external communication materials (newsletters, annual and interim financial reports) and events. Provides routine day-to-day operations and administrative support for a business unit or large department. May assist in providing communication consultation to internal departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assists with projects as needed, including presentation decks, yearly budgeting, invoice processing and budget tracking.

Supports communications needs of corporate operations and/or designated business groups and departments. Engages in the development and execution of communications programs.

Coordinates a variety of specialized communication responsibilities.

Coordinates the development and production of marketing proposals and collateral materials.

Reviews and monitors department processes and procedures to identify opportunities to improve service delivery to internal and external customers. May network with external contacts to research and recommend best practices.

Promotes CBRE through events and editorial venues; may include coordinating sponsorships and assisting in event planning.

Drafts confidential correspondence, edit documents, take and transcribe minutes of meetings, and perform other administrative and secretarial duties.

Creates, maintains, and/or updates various databases.

Extrapolates, analyzes, and presents data for management information reporting purposes.

Serves as a liaison between executives, internal management, employees, clients, and visitors as required.

Reviews incoming correspondence via paper or email, lead initiative to determine appropriate action required. Leads and monitors issues for appropriate follow up.

Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary, and acts as a liaison between departments.

May type, format, proofread, and edit correspondence and other documents, from notes or using word processing software.

May communicate with internal and external clients to answer questions, disseminate or explain information, take orders, and address complaints.

May complete work schedules, manage calendars, and arrange appointments.

May create a wide variety of template, company-sanctioned marketing materials that may include maps, demographic reports, and executive summary brochures for in-house and client presentations using advanced desktop, graphic, and mapping software.

May perform technical duties such as working with multi-media software, setting up Audio Visual equipment, initiating video conferences, or operating phones or the Internet.

May perform a variety of facilities and maintenance duties such as processing work orders for maintenance, coordinating moves, taking inventory and ensuring adequate supplies.

May answer telephones, direct calls, and take messages.

May maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.

Helps to uphold company brand standards and guidelines when working on projects.

Other duties may be assigned.

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance, and/or training to coworkers.

EDUCATION and EXPERIENCE
  

Bachelor's degree (BA/BS) in English, Journalism, Communications, Marketing, or a related discipline from 4-year college or university, and a minimum of 2-4 years of related experience and/or training. Real estate experience is a plus, but not required.

COMMUNICATION SKILLS
  

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.


FINANCIAL KNOWLEDGE
  

Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages. Conducts basic financial analysis.


REASONING ABILITY
  

Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.


OTHER SKILLS and ABILITIES
  

Intermediate skills with Microsoft Office Suite and Adobe Acrobat.


SCOPE OF RESPONSIBILITY
  

Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to coworkers and supervisor.
